    Department Spotlight Clinical Research

    May 20 is National Clinical Trials Day. Celebrate with us by recognizing the Clinical Research team at Renown Health!  The root of every medication, treatment and procedure in healthcare can be traced back to research. From the beginning of the history of medicine, research has always played a crucial role in improving the lives of patients around the world, leaving a permanent mark on how we expand our medical capabilities to this day.  Renown Health’s Clinical Research team, in partnership with the University of Nevada, Reno School of Medicine (UNR Med), are leading that effort in our very own community. As our in-house leaders of clinical trials, this team is dedicated to advancing the science of medicine to help further our bottom line of making a genuine difference in the health and well-being of the patients they serve.   Trial by (Medical) Jury  Every day looks different for the Clinical Research team, especially when it comes to interacting with patients, providers and “sponsors,” which are the organizations providing the treatment for the study. One fact always remains true: communication and collaboration are key, especially among the team who act as the face of this process.  Meet Lisa English (pictured above on the far right in a blue shirt), a Lead Clinical Research Coordinator at Renown who serves as the study "project manager." One aspect of Lisa’s day-to-day is seeing patients through their clinical trials from start to finish.  It all begins with the setup.  “Before we can launch a study, there is a lot of back-and-forth dialogue between everyone involved to ensure the best fit,” said Lisa. “Sponsors will come to us with novel treatments, such as medications or devices, and the inclusion criteria that patients need to meet in order to qualify for the study. We then immediately jump into working with the providers, looking closely at the science and comparing the treatments to what is on the market already.”  From there, Lisa coordinates conversations between the providers, sponsors and study teams to gauge everyone’s capacity based on the length of the study, ensuring everyone involved has the time to dedicate to the process. Next, the providers identify patients that meet the criteria for the study, and together, the team decides where the patient visits will happen and discusses any potential barriers that may affect patient retention. The budget is clearly defined at this stage, set up to make sure no patient is ever billed for medical costs incurred as a result of the study.  Often, research participants are seen within the specialty clinics throughout the health system, while other times the Clinical Research Coordinators see patients at the recently centralized Clinical Research Office at Renown Regional Medical Center. This location provides an essential public-facing space for the community to learn more about clinical trials and demonstrates the breadth of resources available at Renown to sponsors to strengthen external partnerships and research funding opportunities.  Once the study officially begins, team members like Lisa will set patients up for a “screening/qualifying visit.” During this appointment, she makes sure patients get scheduled for their lab work, imaging scans and anything else the provider may need to make an executive decision on whether or not the patient is a good candidate for the study.  “I build it all in Epic,” said Lisa. “The study information, directions, requirements and next steps are all loaded in Epic for easy tracking. We are also required to input any notes in the sponsor’s electronic data capture website. All the information I track is inputted without protected health information (PHI), so every patient is completely anonymous.”  After the patient officially qualifies, the study goes full steam ahead. Team members like Lisa and the providers receive continual updates from sponsors on the status of the study.  “Throughout the entire process, I make sure patients get scheduled for everything that meets the requirements for the study,” said Lisa. “I meet with patients one-on-one to discuss their needs and concerns and ask questions about the study, organize their appointments and charts and deal with any issues or pivots that may arise. It’s very important that every patient fully understands what is going to happen with their care.”  The Clinical Research department strives to serve as a care partner to patients, providers and clinics they work with. The majority of our Clinical Research Coordinators are trained phlebotomists and medical assistants, performing their own assessments such as lab draws and electrocardiograms (ECGs) to streamline the research visit process and reduce resource constraints on the clinics and health system.  Lisa typically sees a couple of patients per week, depending on the study and where patients are in the cycle. Depending on the complexity of the trial, patients may see the research team only one time or several times over many years. Typically, clinical trial patients are seen in clinic every 2-4 weeks. There are many tasks required before, during and after a research visit to ensure everything runs smoothly, so Clinical Research Coordinators dedicate an average of 5-11 hours of work per patient, per visit.  Regardless of patient load, each employee in the Clinical Research department – as well as participating teams across Renown and UNR Med – always step in to help each other out. According to Lisa, the environment is immensely supportive.  “We have a program here at Renown to train employees who have never done clinical trials,” said Lisa. “We love seeing people get more engaged with the important work we do, and every department has been great at collaborating with us. Everyone brings a different perspective.”  At the end of the study, Lisa gathers all the information and collects notes into a zip drive or paper binder for archiving. The sponsor lets the Clinical Research team, providers and patients know whether they are on the trial drug or on the placebo. The teams use the data gathered during the study to publish a report or present at conferences, promoting the critical research done to better the lives of patients in our community, and potentially, the world.  “I appreciate the time everyone gives us to make sure our research is successful,” said Lisa. “It feels great to work together to make a difference, improve healthcare quality and save lives.”  Behind-the-Scenes, Yet on the Frontlines  The impact of research studies transcends hospital walls, and this can all be attributed to the dedication of our Clinical Research department. The constant collaboration between this team, lab science, medical assistants and providers, cardiology technologists, sonographers, finance teams and our partners at UNR Med is crucial to safeguarding the success of the studies.  Devoted to keeping research close to home, Renown and UNR Med teamed up to form the Clinical Research Office (CRO) in 2021. With the strength of northern Nevada's largest not-for-profit health system and Nevada’s first medical school, this team is dedicated to giving our community access to the latest care innovations.  “At UNR Med, we are working with students, residents and academic faculty; on the Renown side, we are working with clinicians and community participants,” said Amber Emerson, Manager for Community Outreach and Research Engagement for UNR Med.  “Everything we do is data-driven,” added Kristen Gurnea, Manager of Clinical Research for Renown. “Our main goal is to optimize our impact and provide a community benefit for our patients. The scope of our roles in the Clinical Research office is very diverse.”  To help meet the growing need locally for healthcare and cutting-edge treatment solutions, the CRO has continued to grow, expanding its research capabilities and helping bring new medications, medical devices and more to patients across northern Nevada and northeastern California.  “Once upon a time, our team had only six members; today we have grown to a team of 25,” added Diana Torres, Research Resource Analyst for Renown. “We used to be considered one department, including Medical Education, and we have since branched off into our own cost center. We branched off even further and created a separate Genetics department that runs the Healthy Nevada Project. Throughout this process, the Clinical Research department was always the main point of the umbrella.”  “We participate in hospital-wide outreach and marketing, and we feel this has really helped us get the word out about our department,” added Raul Arellano, Research Resource Analyst for Renown. “In fact, we doubled our clinical trial portfolio from last year.”  The CRO currently operates over 100 clinical trials locally in cardiology, endocrinology, infectious disease, neurology, pediatric and adult oncology, pediatric sub-specialties and pulmonology.   Behind the curtains of in-person research, the CRO is home to several experts who help turn our research studies into a reality, from budgeting and billing to barrier-breaking and building relationships.  “I help with barriers patients and Clinical Research Coordinators are facing, building connections and relationships inside and outside of our health system,” said Kristen Gurnea. “I enjoy handling all the supporting pieces that are required for studies to happen.”  “My role changes every day,” added Jenna Berger, Administrative Assistant for the CRO at Renown. “Some days, I’ll be helping coordinate patient stipends and going through document management to ensure we have all necessary signatures. Other days, I will be planning events – like Clinical Trials Week – for our department and creating marketing materials and fliers.”  “Our day-to-day involves going over anything related to research financials,” added Diana Torres. “We handle sponsor billings, process efficiency and collecting revenue for research contracts, and we collaborate closely with our Finance department and Revenue Integrity in order to accomplish this. It’s important for us to make sure all billing on both the sponsor and patient side is taken care of, especially because patients should never receive a bill for medical services they receive for the trial. A year and a half ago, we started doing budget negotiations for research contracts,” said Diana Torres. “We are proud to help clinical teams with any training they may need on these negotiations as well as billing reviews and allocations.”  Seeing patients progress during a study and transform before their eyes inspires the CRO team to continue doing what they do every day.  “I’ve been here for many years, first working on the floor as an oncology nurse and transitioning to oncology research in 2005,” said Anna Winchell, Cancer Protocol Nurse for Renown. “I love getting to know the patients and seeing them progress into a healthy lifestyle.”  Medical students and residents at UNR Med also play a significant role in the research process, advancing medicine by exploring causes and novel treatments for a wide range of conditions, including HIV, muscular dystrophy, gastrointestinal disorders, infectious diseases and more. Medical research at UNR Med is headed by committed research coordinators, community outreach managers, grants managers, pharmacists and physicians.  “I oversee scientific review and help the physicians that come to us for those resources,” said Amil Trujillo-King, Medical Research Coordinator at UNR Med. “I guide medical students in their research protocols and help with different projects to improve research activities for both students and medical residents.”  It takes a village to make clinical research happen. Because of that, the ACRO cannot thank the following teams enough for moving mountains for the future of medicine:  Renown Health and UNR Med leadership for demonstrating the integrated health system’s commitment to expanding access to clinical research in our community within both the Renown / UNR Med affiliation and Renown active strategic plans.  Renown Pharmacy especially Research Clinical Pharmacist Tim Morton, who supports all clinical trial medication dispensing and patient education across all clinical trials at Renown.  Accounts Payable for having a huge impact on patient and employee reimbursement.  Renown Medical Group for their participating providers, especially in oncology, cardiology, pulmonology, pediatrics, endocrinology and neurology, who are involved in research year after year.  Marketing and Communications for helping with printed materials and raising awareness for clinical research at Renown and UNR Med.  An Affiliation to Last Through the Ages  A collective, shared vision of exploring community health – that is the impetus behind the affiliation between Renown and UNR Med. By leveraging resources across both institutions, the CRO has maximized their impact, giving the people of northern Nevada greater access to new interventions and treatments and promoting an impassioned culture with patients, providers, residents and medical students.  “Community-based research always sat well with me,” said Amber Emerson. “As Renown and UNR Med, we have this unique opportunity to shape clinical research here in northern Nevada. We always make sure we present research in a meaningful way that speaks to the work we produce and demonstrates the opportunities we offer. After all, participating in clinical research doesn’t mean our patients are ‘guinea pigs’ – quite the opposite! They are partners in their health care, and we support them through providing access to novel treatments.”  “Research is my passion, and my career has spanned broadly from grants administration to study coordination,” added Valerie Smith, Clinical Research Center Administrative Manager at UNR Med. “I am excited to be at the forefront of research frontiers in northern Nevada.”  Through robust engagement and collaboration with healthcare providers, department administrators, internal research team members and leadership, the strength of this affiliation is unmeasurable. The CRO’s ultimate goal is to have clinical trials be the standard of care for every condition that Renown and UNR Med treats. Clinical research participation is all about patient autonomy, shared decision-making between patients and their providers and advancing medicine to save lives. From their beginnings as a small group of passionate researchers to their present reality as a leader in the research space in northern Nevada, their efforts do not go unnoticed.  “The success of our department is inspiring,” said Amil Trujillo-King. “Renown and UNR Med supports the wellbeing of all employees and contributes directly to the growth of the department.”  “When I first joined Renown in Patient Access, I didn’t realize that we had a research department; with a strong healthcare background in my family, I knew I wanted to grow in my career, and our expanding Clinical Research office was that next step,” said Raul Arellano. “With our affiliation with UNR Med, it’s especially inspiring to be able to apply what I learned as a Patient Access Representative to help further outcomes for our patients through managing our finances.”  Through their unwavering commitment to research excellence and patient-centered care, the CRO will continue to pave the way for groundbreaking medical discoveries and improved outcomes for patients for years to come.  “Fundamentally, we’re working to build a culture of research in our community because we believe it is the right thing to do. Our community deserves to have access to clinical trials and novel care close to home with a dedicated team to support them every step of the way,” closes Kristen Gurnea.

    As Community COVID-19 Cases Rise, Renown is Prepared

    Across the country, we are seeing an increase in COVID-19 cases including significant surges in hospitalized patients in many communities. As our nation experiences the impact of this international pandemic, the Renown Health team continues to make preparations for our community.  Renown staff continue to safely screen, diagnose and care for patients with respiratory illnesses, including those at risk for COVID-19.   Renown continues to use current local and national data, analytics, and public data sets for predictive modeling and is prepared to serve the community.  At this time, based on the number of patients hospitalized for COVID-19 and seasonal fluctuations, Renown Regional Medical Center and Renown South Meadows Medical Center are experiencing inpatient hospital capacity challenges. We have prepared for these patient census increases and the need to serve an increased level of hospital patients. Out of an abundance of caution, Renown has deployed the Hospital Incident Command System (HICS) to address the ongoing high census and increasing community COVID-19 test positivity rates. Command Staff are in place to ensure the beds, procedure capacity and spaces are in place to accommodate staff, technology, supplies, equipment and services to meet the needs of patients and ensure the safety of our care teams. The following health and safety measures are in place. Still Caring for Scheduled Medically-Necessary Surgical Patients In an effort to continue to meet the medical needs of all those needing care at Renown hospitals and in alignment with national professional societies, and the American Hospital Association, Renown continues to successfully schedule medically-necessary inpatient and outpatient cases at both Renown hospitals. Criteria continues to include pre-testing patients for COVID-19 prior to their scheduled procedure date, having patients remain in isolation following the test and up to the time of surgery. Based on the data, Renown has no plans to cancel medically-necessary surgeries. In fact, these surgery patients only use less than 7 percent of staffed beds on average, and do not add significantly to the capacity management challenges we are experiencing.  Temporary Deployable Medical Structure Outside Renown Regional Emergency Department As another way to manage influx and limit the exposure between individuals suspected of having respiratory illness and assure health and safety measures for other hospital patients and providers, Renown is again working with the State Public Health Preparedness team and has requested a deployable medical facility through the Washoe County Emergency Manager. We expect that the Temporary Deployable Medical Structure will be erected over the next week outside the Renown Regional Emergency Department. This proactive step to serve our community, was also taken back in March. (Medical Structure photos.) Alternate Care Site at Mill Street Parking Structure at Renown Regional Remains Ready If needed, the temporary patient care area created within the Mill Street parking structure is ready to serve additional hospitalized patients diagnosed with COVID-19 but not needing intensive care. This Alternate Care Site (ACS) location allows caregivers and patients to remain on campus, and still have accessibility to existing hospital infrastructure such as lab, pharmacy, imaging, food services and other critical services. The Renown ACS contains flooring, electrical infrastructure, lighting, water, technology, and is equipped with beds and basic patient care support equipment. It was built within a 10-day period in April by local partners including Clark/Sullivan Construction, Curtis Bros. Construction, PK Electrical, Ainsworth Associates Mechanical Engineers, Intermountain Electric, Mt. Rose Heating & Air Conditioning and Frank Lepori Construction. (Alternate Care Site B-Roll.)     Receive Care From the Comfort of Your Couch: Renown Health Offering Virtual Visits

    Through the COVID-19 pandemic, Renown providers remain committed to safely caring for community members, both in person and virtually. Renown Health is proud to offer same-day virtual visits to help community members maintain their health and address medical concerns amid the COVID-19 crisis and beyond. Virtual Visits are easily-accessible video conferencing visits with a health provider. They are used for primary care, specialty care and urgent care to enable patients to consult a care provider from the ease and comfort of their homes. “If there’s a bright spot in the midst of this pandemic, it’s that COVID-19 is pushing us to rapidly adopt new ways of thinking about and delivering healthcare–through new technologies,” said Dr. Tony Slonim, president and CEO of Renown. “Our team has worked diligently to make virtual visits available to our community as an added convenience for those who would prefer to stay in their homes. As we work to keep all of our patients safe and healthy, we want our community to know we’re here to serve any ongoing healthcare needs they have by expanding our care options.” Virtual Visits for Urgent Care For urgent care needs, individuals can log in to MyChart and request to “Talk to a Doctor” to receive care from a Renown provider. After filling in some information and confirming their healthcare concerns, Renown’s healthcare team will notify them by text or email when a provider is ready to talk to them virtually. Providers will help patients determine whether their health needs can be met from their home or if they need to seek in-person care. Virtual urgent care visits can address the following symptoms: Common cold and cough symptoms Muscular, tendon or joint pains not caused by injury Allergy or sinus symptoms Pink eye Urinary discomfort Diarrhea without vomiting Rashes or skin sores Backache Nail problems Screening examination for sexually transmitted illness (without symptoms) Medication refills (not controlled substances) Renown’s urgent care virtual visits are available 8:30 a.m. through 10:30 p.m. Monday-Friday and 9:30 a.m. to 4:30 p.m. Saturday and Sunday. Virtual Visits for Primary Care and Specialty Care Many primary and specialty care appointments for adults and children are now available virtually through Renown Medical Group. Individuals with an existing Renown Medical Group provider are encouraged to call 775-982-5000 if they would prefer to see a provider from  home. Home Medical Visits Last week, Renown announced its partnership with DispatchHealth, which is now making house calls to individuals who prefer to be seen from their home by a licensed medical professional. This high-quality medical care option is available to all Reno/Sparks residents, both insured and uninsured. If a patient is uninsured, there is a flat fee of $275, which includes all medications administered and lab tests on site. “Whether a patient prefers to be treated at home or in one of our traditional office settings, we are prepared to provide the right level of care, at the right place, at the right time,” said Dr. Slonim. “From routine exams and checkups to illnesses and other conditions that may arise, it’s critical to continue seeing to your unique healthcare needs.” All virtual visits require a free MyChart account. Those who do not have a MyChart account can sign up online. Most insurance companies apply the same co-pay fees as charged for in- person visits. No other organization in northern Nevada, public or private, prepared for an overflow of patients with COVID-19. Until January 2021, the ACS served hundreds of hospitalized patients and allowed caregivers to remain on campus with access to lab, pharmacy, imaging, food and other crucial services. Patients are now cared for within one of Renown’s hospitals or monitored in their homes 24/7 by clinicians in the Renown Transfer and Operations Center. Many employees worked remotely throughout the pandemic; Renown’s human resources department listened to their employees' thoughts and opinions. Positive feedback about remote work (which included decreased commute times, fewer distractions, improved work-life balance and a reduced carbon footprint) resulted in allowing more than 700 employees to continue working remotely, with having the option to “hotel” onsite at any time. In June 2020, the Renown Laboratory team sprang into action to help meet the growing demand for COVID-19 testing. Renown expanded staffing and in-house testing capabilities, allowing Renown to swab and process up to 1,000 COVID tests for patients each day and share results within hours. Working with the mayor’s COVID-19 task force and local faith and community leaders, the hospital also provided free COVID-19 testing for communities of color to address health equity needs. After several weeks of employee and volunteer drive-thru vaccination events, Renown also supported the Washoe County Health District and the state in vaccinating more than 70,000 neighbors and caregivers.     Rooted with Renown, One Families Story of Remarkable Odds

    Renown Health is proud to debut our newest commercial spot, Days, on Thanksgiving Day 2022. This commercial features members of the greater northern Nevada community, former Renown patients and employees. Chris and Ann Cook are some of these community members, and we are grateful we get to tell their story. Family is everything for Chris and Ann Cook. Their loved ones span across the United States and even farther to Germany, so time spent with their children and grandchildren means the world to them. When Chris went to the emergency room for a persistent headache and drooping eye over twenty years ago, they could have never predicted the number of hours their family would spend at Renown care facilities in the coming years. “Whenever we step inside a building with that purple logo, we know right away we will be supported by friends, family and Renown staff. Our family has turned countless hours inside hospital walls into memories of gratitude for the care we receive.” Chris Cook said. “It is these memories that make us appreciate the health of our family today.”   A Relationship with Renown that Spans Decades The Cooks can remember a time before Renown Regional Medical Center’s inception when Washoe Medical Center (Washoe Med) stood in its place. It was at Washoe Med that Chris received emergency brain surgery after a visit to the emergency room over 20 years ago. Immediately following a CT scan, Chris was transported to Washoe Med, now Renown Health, for emergency brain surgery and eventually to treat a hematoma. Doctors close to his case were amazed by his survival, considering Chris’ divergent situation resulting from a raisin-size colloid cyst and dissected corotated artery. He spent three weeks in the ICU recovering at the hospital, his spirits lifted by the amazing staff who brightened his day with gestures of kindness. From there, he was supported by countless friends and family members over the next three months while recovering at home. Ann, Chris and their daughter found small comforts when running into the familiar faces of their daughters' past schoolmates, who are now Renown employees, in the hallways.     Dr. Susan Lee to Lead Renown South Meadows Medical Center

    Dry Weather and Your Health – What to Know

    Dry weather – as northern Nevadans we know it well. Of course this doesn’t mean we’re not affected by its health impact whether you’re new to the area or are a native. Stephanie Stutz, DO, a Renown Medical Group doctor specializing in family medicine, explains how to live comfortably in the high desert. Have you noticed dry skin, itchy eyes or more bloody noses? If you call northern Nevada home, you’re probably no stranger to these problems. “We get a lot of questions from people wanting to know, ‘what can I do to prevent things from happening from the dry weather?’” says Dr. Stutz. “We do have a dry climate, and obviously in the summertime you notice it more than in the winter, so we look at things like dry skin, dry eyes and dry nose.” It generally takes about two weeks to become used to the change in climate. Dry Weather Health Tips Fortunately, there are some easy things you can do to reduce your discomfort in dry weather. Dry skin. “If you have dry skin, use a lotion without perfumes so it won’t increase the potential for drying your skin out,” recommends Dr. Stutz. For example, one home remedy for extremely dry skin (or for those with thinner skin) is cocoa butter. “It’s thicker so it goes under the skin and takes more time to absorb. As a result, you get a much more long-lasting effect.” Dr. Stutz adds. “You can also add lavender essential oil to your cocoa butter to help you sleep at night.” Dry and itchy eyes. “Use eye drops on a regular basis and keep them with you. I recommend people have a couple of bottles – one at home and one in their bag,” Dr. Stutz suggests. Dry nose. “Overall one of the best things to use is a simple nasal wash,” she says. “You can get it over the counter; it’s a saline nasal wash. Use it a couple of times each day and it can be extremely helpful. In particular, gets up into the sinuses and clears them of any pollen or residue in there.” Dry Weather Nosebleed Advice In our dry climate, you may also notice more allergies and nosebleeds. Dr. Stutz cautions, “Surely the dry air can make your allergies much worse. It can create much more irritation, pain and pressure, particularly in the nose and sinuses.” Again, Dr. Stutz recommends using a nasal wash to remove discomfort. Using a nasal wash two to three times a day can also help prevent nosebleeds. “And if you’re someone who has severe or chronic nosebleeds, you can put a little bit of Vaseline along the inside of your nose to create a moisture barrier”. Dry Weather Medication Advice In addition to allergy and nosebleed sufferers, people on certain medications may be at greater risk for symptoms in our dry climate. “The medications you are on can make you much more susceptible to drying out and becoming slightly dehydrated,” Dr. Stutz warns. For this reason discuss all of your medications with your doctor. Specifically, see if you can time them throughout the day or look at changing the dosage. Should I Get a Humidifier? Given our year-round dry weather, you may want to purchase a humidifier to help ease your symptoms. But there are some things you should know first. “You have to be careful with humidifiers as there are pros and cons,” states Dr. Stutz. “The small tabletop humidifiers are not beneficial. You need to get one covering a huge amount of square footage and holding approximately 10 to 30 gallons of water to help your home. On the negative side, if you’re not maintaining it on a regular basis, it will hold on to mold and other allergens. So the next time you turn it on, you’re actually putting that back into the air.” Do I Need to Go to the Doctor? To be sure, it’s important to know yourself and your family. If this is something you experience each year, you can try over-the-counter medications. “But remember, there’s always the caution if you’re on prescription medications,” Dr. Stutz explains. “If you are on chronic prescriptions, come in to get evaluated just to make sure you’re not using anything which interferes with your medications.” Not Just a Summer Problem As the temperatures drop, remember this isn’t just a seasonal issue here in the Reno-Tahoe area. During the winter months, our dry climate combined with cold temperatures and heaters can still cause dry skin, aggravated sinuses and even itchy eyes. So use these helpful dry weather tips all year.     How Referrals Work at Hometown Health and Senior Care Plus

    Your provider wants to send you to a specialist. Now what?  You are about to enter the referral process. A referral is your provider’s recommendation for you to see a specialist or receive specialized treatment. When it comes to referrals, the process can seem like the wild west for people not familiar with it. At Hometown Health and Senior Care Plus, we make the process simple for all our members. We know that access to specialists is a vital aspect of total health, and our goal is to break down those barriers to care at every level.   Here is a step-by-step guide to how the referral process with your Hometown Health or Senior Care Plus provider works:  1.   Your primary care provider (PCP) or urgent care provider will send a referral to the specialist’s office. A referral can also be sent from another specialist or after discharge from the hospital. This is usually done via email or fax.   2.   As your referral is sent, now would be the ideal time to discuss with your provider’s office how the specialist will receive your medical records prior to your appointment. Your provider’s office will most likely send these records to the specialist for you, but it is always a good idea to double-check with them directly.  At Renown, the referrals team will send the following items to your specialist’s office when available:  ID Insurance card Most recent and relevant office notes to support the referral The referral order Any relevant labs or imaging pertaining to the referral Demographics information  3.   The specialist’s office will call you to schedule the appointment after they receive the referral. Each office processes the referrals they receive in a slightly different time frame, so if you have any questions about the status of your referral, it is best to call their office directly. Those not enrolled MyChart will receive a letter in the mail with scheduling information.  4.   The specialist will start to develop a course of treatment. That may include procedures, diagnostic tests or medications. Some of these treatments may require prior authorization from your insurance plan, so don’t forget to discuss how and when your specialist will receive the authorizations before you begin your course of care to avoid any surprise bills.  What can I expect if I have a Renown specialist?  At Renown, we handle a lot of the behind-the-scenes nitty-gritty so you don’t have to. After the referral is placed, it routes to Renown’s centralized referrals team and triaged to make sure you are scheduled with one of our providers with the right specialization for your specialty care needs. This team will also obtain the prior authorization you need and will you to a specialist that is in your network and based on you and/or your provider’s preference and continuity of care. The referrals team will attempt to find you a Renown provider first if you are not yet established elsewhere.   For Hometown Health and Senior Care Plus members, prior authorization is not required for certain services if you are being referred to a Renown provider. This makes the scheduling process go quicker for both the provider and the patient.   Our referrals team strives to keep their turnaround time for referrals within three business days, not including prior authorization wait times. If your referral is marked as ‘urgent,’ it will be reviewed within one business day so you are seen as soon as possible based on the needs of your medical condition, and you will receive a direct phone call with scheduling information.   After prior authorization is obtained, the Renown scheduling team will call you through an automated phone system or via a message in MyChart with a direct link to schedule your appointment. To speak with a Renown scheduler or if you have any questions, please call 775-982-5000.  What does prior authorization mean?  Prior authorization isn’t as scary as it sounds! Essentially, prior authorization is your provider “going to bat” for you to receive this specialty level of care. Some medical services, including many specialists, are covered only if your ordering provider (usually your PCP) submits an authorization request to your insurance plan. They will include specific details about the type and duration of treatment they would like you to receive and any medical records that support your need for the specialist.  After your insurer receives the request, a licensed medical professional will review the request, your records and your plan benefits. They will decide whether the specialty treatment is considered medically necessary based on recognized standards of care.  Where can I go for more information?  Your referrals and authorizations can be viewed in MyChart. To view them, navigate to Your Menu in the upper left corner of the page, scroll to the Insurance section and click on “Referrals.”   The Renown referrals team is available to answer your questions and address any concerns.     Department Spotlight: Surgical Preadmission

    Heading into surgery of any kind can bring along feelings of intimidation. With a best-in-class surgery team at Renown Health, patients rest assured that they are in the most capable hands for their entire procedure from start to finish – and while the physical preparation is vital, mental and emotional preparation is equally as important to ensure each patient has a smooth and comfortable experience. The Surgical Preadmission department (a.k.a. “preadmit”) at Renown Regional Medical Center and Renown South Meadows Medical Center is a dynamic and compassionate group of nurses, case managers, chart managers and more who are dedicated to guiding each patient through the surgical process. With extensive knowledge and expertise under their belt, the teams are equipped to make a genuine difference in the health and well-being of all patients, for all surgeries, at all times of the year. Surgery Starting Ground The Surgical Preadmission teams are crucial aspects in the successful outcome of every surgical procedure. Comprised of skilled healthcare professionals, this department is dedicated to providing comprehensive support and care before heading into the pre-operating room. “Our job is to prepare every patient for surgery, make sure all their pre-surgery testing is done, ensure they understand their fasting and medication instructions, have had their questions answered, have a ride home and know what to expect during surgery and after so their recovery can go smoothly and without complications,” said Debra Bennett, RN, Supervisor of Surgical Preadmission at Renown Regional. “Each patient is unique, so each experience is different.” Our preadmit nurses are the masters of communication, directing thorough assessments – including medications, tests and clearances – and addressing any questions or concerns patients may have, never missing the opportunity to inform them of exactly what they will expect in surgery. “I do a complete history on every patient while giving them detailed pre-operating instructions and helping them answer any questions to the best of my ability,” said Nancy Hilts, Surgical Preadmission RN at Renown Regional. “I am proud to be able to help allay their fears and concerns using my 30 years of pre-op experience. I offer an avenue for them to feel comfortable opening up to me.” “We always tell patients that they have great surgeons and a fantastic team that will be watching over them and taking care of them every step of the way,” added Jon Capallupo, Surgical Preadmission RN at Renown South Meadows. “We also give them plenty of educational handouts and video content, in addition to verbal instruction, to ensure they are as prepared as possible.” The nurses then pass the reigns onto the chart managers, who prepare the charts for surgery and ensure all documentation is up-to-date before sending them to the pre-operative team. The expert surgical case managers also step in to prepare a thorough discharge plan, along with reviewing pre-operation orders for status, consent, codes and more. The team does several of these initial visits virtually, and they are looking forward to soon phasing all preadmit case manager preliminary visits into a virtual model. From assisting the pre-op and post-anesthesia care unit (PACU) teams with discharge planning concerns to helping on the outpatient side with anything from oxygen equipment and catheters to transportation issues and those experiencing homelessness, our pre-admit case managers are always up to the challenge. "We are true patient advocates, alleviating concerns and fears along the way,” said Mary Carl, RN, Case Manager at Renown Regional. “Just to name a few things we do on a daily basis, we see our total joint and non-weight bearing patients during their preadmission appointment, so they are aware of the medical equipment they need and if it is covered by insurance; provide education for Aspira catheters and gastrostomy tubes; advocate to ensure tube feeding and dressing changes are set up for hospice and home health patients; and escalate concerns of patient safety to ensure a safe discharge.” In the midst of it all, there is never a dull moment in the preadmit teams. At Renown Regional alone, the preadmit professionals see more than 1,600 patients a month – and each one has a hyper-personalized experience with their very own preadmit team. “Many times, we are the first impression a patient has on our organization; after all, we touch more than 97 percent of patients that are scheduled for surgery, cardiac catheterization lab procedures or interventional radiology,” said Amy Schler, Surgical Preadmission RN at Renown Regional. “We also collaborate with many other departments in the hospital as well, from surgeons and anesthesiologists to case managers and nurse navigators. Our work in preadmit impacts the entire surgical process.” Holding a diverse array of experiences, our preadmit department plays an integral role in our commitment to providing the highest quality of care to every patient. Knowledge is Power Heading into surgery feeling fearful and worried is normal for any patient. However, how would you feel knowing that each individual member on your preadmit team has, on average, 23-25 years of experience in the field? This is the reality for our Surgical Preadmission department – and they put that vast knowledge to great use to bring a sense of calm to patients. “Our team members have worked in various departments within our organization, and they bring a wealth of knowledge that we share with each other, and most importantly, with our patients,” said Amy Schler, RN. “If you have hundreds of years of nursing experience, you can speak not only as a nurse but also as a patient. It allows you to give a more personal perspective on what patients can expect in their recovery. Being able to assess their emotions and provide feedback to our pre-op and PACU teams help the patient have a better experience.” “Many of our nurses have close to 40 years of experience each, and they have an extremely large knowledge base since we see patients from newborn to geriatric and from easy procedures to complex surgeries,” added Debra Bennett, RN. “Another great aspect of our team is the varied nursing backgrounds we all hold – surgery, pre- and post-op, labor and delivery, pediatric intensive care, cardiology, gastroenterology, urology, cardiac cath lab, home health and everything in between. Communication between departments is so important!” All members in this department, regardless of which clinical area they came from, surgical or non-surgical, can easily translate their skills into the work they do in preadmit – and they only continue to grow. “As a surgical preadmission nurse, I have used my years of experience as a nurse in surgical services,” said Terri Delatorre, Surgical Preadmission RN at Renown Regional. “I started as a floor nurse with orthopedics for 12 years, and then I worked with the PACU for 11 years. This has helped me give great understanding and care to our surgical patients.” “Because we have staff with such a vast knowledge base, we can rely on our years of working within our organization to help alleviate fears that the patient may have,” added Amy Schler, RN. We can prepare them for what to expect in pre-op and PACU and educate them on what to expect post-op, including any barriers they may face. For example, mastectomy patients may not realize they will not be able to raise their arms for 7-10 days post-op, and total knee patients have to navigate stairs and housing access. Helping patients think about barriers at home that they may not have thought about helps them prepare prior to surgery, enhances their healing and provides a better surgical experience.” The preadmit team works closely with our best-in-class surgeons and anesthesiologists, continuing to grow their expertise along the way while learning alongside our talented providers. For instance, when it comes to our Renown South Meadows preadmit department, anesthesiologist Nariman Rahimzadeh, MD provides excellent guidance for the entire team on state-of-the-art anesthesiology practices. “I am very proud of the work we do with Dr. Rahimzadeh,” said Lisa Closson, Surgical Preadmission RN at Renown South Meadows. “Together, we ensure patients are safe for both surgery and anesthesia.” Despite the challenges that come their way – whether it be changes to process and workflow to navigating support for patients after they leave the surgery floor – the preadmit team cleverly uses their collective wealth of knowledge to bring hope and comfort to all patients. “Our nurses are such warm, caring and compassionate humans that do their best to ease any fears and anxieties patients may have,” said Debra Bennett, RN. The Pride of Preadmission The pride of our preadmit team lies in their ability to make a positive impact on all patients they serve. To them, their work is not just a job – it's a calling. And they do it all while working together to elevate their team and performance. “Our team is most proud of the quality of care we provide to our patients and our abilities to troubleshoot difficult situations to ensure they have a great surgical experience here at Renown,” said Mary Carl, RN. The entire department supports each other by working collaboratively and relying on each other’s expertise to provide the best possible care for patients. They understand that their success as a team depends on their abilities to support and help each other. “Our team is awesome here at South Meadows,” said Jon Capallupo, RN. “We can turn to each other for support, and we all work very well with each other. I am glad to be a part of this team.” “I am proud of how well all of us in preadmit works with each other every day,” added Lisa Closson, RN. “We try to make patients feel comfortable from the moment they arrive to the time they leave the department.” The pride that our preadmit team expends goes beyond their departmental limits – these team members are also trusted teachers. They work closely with cancer nurse navigators to teach weekly classes for patients who have been newly diagnosed with breast cancer, coupled with lymphedema prevention and education classes. The team also encourages participation in Renown’s free smoking cessation programs to help their patients learn the risks and benefits of quitting smoking. When not serving patients or teaching classes, you can find many of these team members taking charge of multidisciplinary committees within our health system, including breast leadership, gastroenterology leadership, shared governance, infection control and recruitment and retention. On top of it all, this team certainly knows how to celebrate, with several of their members being a part of their own department-wide Celebration Committee, where they gather for retirement parties, baby showers and team get-togethers. Always active and never passing up a challenge, our preadmit department are shining examples of Renown’s Culture Commitments, especially Caring and Collaboration, and the pride in the vital work they do every day is limitless. “I am so happy my position in preadmit opened up for me at a time when I was really feeling challenged in my career,” said Nancy Hilts, RN. “The team that we have here is amazing. I am so grateful and thankful every day for the opportunity. It is an amazing place to work!”
