This position is responsible for communication, which is often of a confidential nature, and coordination of workflow for the Executives of Renown Health. The incumbent has day-to-day contact with leadership, administrative and management staff, employees, members of the Medical Staff, frequent external contact with members of all boards, attorneys, government offices and various organizations, patients and patients’ families.
The major challenges to this position are:
§ Maintaining an extensive appointment schedule;
§ Answering all incoming calls and other calls as required for optimum office efficiency, resolving any day-to-day problems/emergencies or relaying them to the appropriate person;
§ Providing coordination of communication and activities for the Executives in an efficient and productive manner, scheduling appointments as required;
§ Coordinating travel arrangements and ensuring completion of all travel requests/expense reports, pursuant to hospital travel policy for the Executives, their subordinate staff and Board members as needed;
§ Maintaining filing systems;
§ Ensuring that a professional, cooperative and productive office atmosphere is maintained;
§ Performing other duties as required to provide responsible assistance to the Executives.
Knowledge, Skills and Abilities:
§ Proficiency at an executive professional level in English grammar, punctuation, spelling, diplomacy, typing, and the use of office equipment.
§ Highly effective written communication skills, in English, including the ability to compose and edit concise, professional correspondence and reports in good business form.
§ Professional and effective verbal communication skills, in English, consistent with an executive environment, and the ability to deal tactfully, calmly, diplomatically and professionally with others.
§ Ability to problem solve and use good, independent judgments within scope of responsibility.
§ Ability to work cooperatively, diplomatically and productively with peers and all levels of management.
§ Ability to function independently, prioritize responsibilities and cope with a large volume of work with constant stress and interruptions.
§ Ability to maintain confidentiality of information and issues in all aspects of day-to-day business.
§ Understanding of Renown Health and its entities.
§ Skills to demonstrate the Renown Philosophy, consistent with the Standards of Conduct.
